1. Getting Started With Zoom
1.1
To attend a virtual session, you will need to download the current version of the Zoom app.

To download the app head to your devices app store and type ‘Zoom’ or download from the Zoom website at zoom.us/download
​
1.3
A Zoom account is not required if you are joining Zoom Meetings as a participant. If we invite you to a session, you can join as a participant without creating an account.

1.4
All sessions will be secure with a specific web link which will be emailed to you together with a meeting ID and password (which will change for each meeting)

1.5
When you click on the provided web link the Zoom app will automatically open.
​

Join Meeting - Input the meeting ID number provided in the email.

Enter your young person's name in the second box on the screen as highlighted in red in the screenshot below. This is the name that other participants will see.
Click on 'Join'.

Enter meeting password - Input the meeting password, again provided in the invite email. Click on 'Join Meeting'.

You will enter the virtual waiting room until the host is ready to start the session.

1.6
Once ready, the host (Committee member) will accept you into the call. You may need to click ‘allow’ to use your webcam and mic the first time you use the app.

2. Stay at Home Virtual Sessions
2.1
We would like to remind you that all the Committee Members at GENsNYC have valid DBS checks and want to positively impact the lives of our young people. It will only be the Committee members all of whom are familiar names and faces to your young person who will be having contact online in a planned way.

2.2
Only members we have consent to contact (because you as parents/carers have given permission) will be invited.

2.3
Every session will be held at the usual club meeting time of Fridays at 7:00pm (term-time). The length of sessions may vary from time to time but will not exceed the usual club finish time of 9:00pm.

2.4
There may be some activities that will require parental/carer assistance. For example, we may email a worksheet in order to the write the answers for a quiz. If this is the case, we will ask your young person to seek help.

2.5
A Committee member will be the named host of each session. So, you or your young person will receive an invitation to join a session accordingly. Please ensure your young person knows this.

2.6
The session will be a closed meeting that can only be joined via a specific web link and password.
​
2.7
This is a platform where you can see and hear other people live. There is an option to just have a profile picture. However, the purpose of us hosting sessions in this way is to offer that connection the young people are missing from being able to go to Club or out and about to see friends.

2.8
The only adults from Club who will be invited to join or co-host these sessions will be the current Committee team who all have valid DBS checks.

2.9
The option of ‘private chat’ between group participants will be disabled. This is to ensure that the group is transparent and we can do our best to promote the safety of all group members.

2.10
During the session you can mute yourself and turn on and off your video if you need to.

Likewise, the host/co-hosts will have the ability to mute, stop a participant’s video or remove a participant if unacceptable behaviour is displayed.

2.11
No 1:1 meetings or unplanned sessions will be held between club members and Committee members.

2.12
The sessions will have an element of general discussion between participants as would happen on a ‘usual’ club night. We will also have a planned activity or activities which we will hopefully announce in the invite or will be published on the website home page.
3. Stay at Home Club Rules
3.1
It is assumed that any member joining a session has parental/carer permission by way of the invite sent to the contact email address that we have for you.

3.2
Be respectful to others and use appropriate language. Swearing or disrespectful speech will not be accepted and may lead to you being removed from the session.
3.3
We may ask specific members if they want to speak, if we feel they are not being heard or listened to.

3.4
Respect other members privacy, and the privacy of yourself and your family by not giving personal details such as addresses or phone numbers online.

This is to include that no-one attending the session is to take a screenshot or photo of the meeting screen as you do not have the permission of everyone attending to do so.

Our virtual club nights are for invited members only. Therefore, please do not share links with friends or people you don't know.
